Project Manager/Estimator
Scope & Function of Position:
This is a managerial position with fully responsibility over assigned contract plumbing project management/estimating functions. Provide day-to day management, direction, coordination, planning/estimating and supervision of assigned contracting plumbing projects. Must possess a proficient skill in operation of basic office equipment, which includes phone, fax, copiers, PC, cell phone, calculators.
Essential Functions:
- Able to effectively and efficiently manage assigned contract plumbing functions, projects, estimating and assigned personnel.
- Coordinate bids, calculate labor/material costs and meet bid deadlines.
- Scheduling manpower and equipment, auditing labor hours/job costs and visiting job sites to ensure proper project management.
- Expedite each job from each accepted bid proposal from the job's inception to its completion. This includes the collation of purchasing, scheduling, inspecting, job cost tracking, invoicing and those other things that will insure a successful job completion.
- Develop and maintain positive working relationships with GM's, Contractors, Sub-Contractors and attend their job meeting.
- Have and maintain direct communication with filed personnel, which includes on-site visits to the field.
- Work effectively with team members to achieve department objectives and service the customers.
- Provide the proper information and led-time to the individual responsible for ordering "bid plans" so they can timely order the blue prints necessary for estimating a project.
- Schedule the delivery of materials and equipment to arrive on the job site or in the shop on a timely basis. Do not order items to arrive earlier than necessary as it ties up space, man hours and cash.
- Accurately estimate all bids using the most currently approved H. J. Pertzborn Plumbing and Fire Protection Corporation multipliers for labor and materials, and using company job costing policy and procedures established for the department for which you are estimating. Use the "job cost / wip / incentive / worksheet" as the last page of each estimate take off and keep it in the job file for processing should the job be accepted and by the customer and for management's review. Maintain your pricing to your current budget standard. Price increases or decreases (within approved management variance standards), from the budget sales price (which is created from the job cost multipliers) are allowed as long as the average of these variations equals the budget sales price over that budget period.
- Follow the company policies and procedures in completing all of the paperwork which is associated with your job description: estimate take-offs, bid worksheets, proposals, credit applications, job work orders, job change orders, purchasing requisitions, purchase orders (list price from a vendor quotation or an estimate of the expected price), material requisitions, expense tracking (mileage and otherwise) and other appropriate paperwork that is required for proper job performance. This includes but is not limited to: no job is to be started (labor sent out or materials ordered) until written authorization is received from our customer as to the price, terms and conditions (this should be in the form of a signed proposal but may be in the form of a purchase order or confirming letter); no job is to be started until all of the proper paperwork has been submitted (work orders or change orders and job worksheets) and proper credit and pricing approvals have been obtained.
- Prudently purchase and negotiate all materials, equipment, subcontractor contracts and other related direct expenses per H. J. Pertzborn Plumbing and Fire Protection Corporation policies and procedures. Keep a record of the different price quotations which you received for the jobs' equipment, materials and subcontract work in the job file for management's review. Before any items are ordered for any job, a check will be made of existing inventory items. Those items that are found to be in stock will be used from inventory and not ordered.
- Use the proper job number on all job correspondence, make sure the job lead man and the field crew has the number and uses it on their time cards.
- Personally visit each job site on a regular basis to monitor its progress.
- Provide accurate detailing to the accounting department for invoicing on a timely basis. Make sure all change orders have been processed and billed on a timely basis.
- Timely close out jobs, schedule their completion, finish punch lists, prepare project manuals.
- Upon the jobs' completion, sign a copy of the original job work order stating that the job is finished and give it to the accounting department for final billing.
- Follow all company policies and procedures as is outlined in the company's employee handbook.
- Provide a safe, efficient and enjoyable work place environment by following and enforcing all company policies and procedures.
- Follow the corporate credit policy and procedures in the processing of all job work orders. Work with the credit department to make sure any appropriate lien notices are filed in a timely manner.
- Maintain complete confidentially in all business and related matters.
- When traveling during the day, check with the materials manager to see if there are materials that need to be delivered to a job site that you will be near.
- Before using your own vehicle for company business and charging mileage back to the company, check with the material manager to see if a company vehicle is available.
- Maintain a current and accurate copy of the company policies and procedures manual.
- Timely process and return those items requested by your supervisor(s).
- Professionally handle any and all problems or concerns with shop personnel, including completing and performing performance and development reviews in a timely manner as required.
- Ensure proper staffing, training and development of assigned personnel.
- Identify and communicate with management those problem areas within your department that need attention so realistic solutions can be worked out and implemented.
- Monitors and approves time cards of assigned personnel.
- Responsible to timely and proper mentoring, corrective action and/or discipline as may be warranted. This position has supervisory authority up to and including disciplinary suspension.
- Mandatory attendance at all company management meetings. Attendance at individual department meetings upon request.
- Maintain complete confidentially in all business and related matters and abide by our Management Code of Ethics.
- Other duties that may arise and/or be deemed necessary by supervisor.
Position Requirements/Skills:
- Proven hands-on knowledge/experience in Contract Plumbing field desired.
- Proven project management/estimating experiences within plumbing and/or the trades a plus.
- Able to coordinate bids, calculate labor/material costs and meet bid deadlines.
- Able to perform project management functions, which includes scheduling manpower and equipment, auditing labor hours/job costs and visiting job sites.
- Developing and maintaining positive working relationships with GM's, Contractors, Sub-Contractors and attend their job meeting.
- Able to work with basic drawings, blue-prints and perform design/build estimating functions.
- Be self-motivated, enthusiastic, team, goals and results oriented.
- Possess excellent organization, management, detail orientation, communication, and follow-through and customer relations skills.
- Proficient basic math skills associated with costing/estimating functions.
- Able to write and issue administrative memos, letters and required correspondence.
- Project a positive business image, lead by example and be a positive team player.
- Able to develop and maintain positive working relationships with customers, suppliers, vendors, general contractors and/or subcontractors.
- Able to work hours required for fulfilling job duties and responsibilities and maintain excellent attendance.
- Able to work in a varied, fast-paced, changing environment and accept change positively.
- Able to work effectively and efficiently with varied levels of personnel, which may involve difficult situations and people.
- Maintain confidentiality and be able to handle information in a confidential need to know basis only.

- Keep supervisor of aware of pertinent information in a timely and pro-active manner.
- Ability to meet and maintain established physical and environmental job requirements.
- Possess and maintain a valid driver's license and acceptable driving record, as required by our insurance carrier, to fulfill job duties and responsibilities.
- Knowledge of hands-on drafting and/or CAD skills a plus.
